These Terms & Conditions apply to all bookings made with Sursun Bike SL (“Sursun Bike”, “we”, “us” or “our”).

By making a booking and paying the required deposit, you confirm that you have read, understood and accepted these Terms & Conditions on behalf of yourself and all members of your booking. The person making the booking accepts responsibility for ensuring that every participant has read and agreed to these Terms & Conditions before travelling.

1. BOOKINGS & PAYMENT

  • Your booking is confirmed once we have received the required deposit and sent you a written booking confirmation.
  • Deposits are non-refundable, as they secure your place and prevent us from offering it to other guests.
  • If your booking is made by email, we will provide our bank details to arrange the deposit. Bank transfer is currently the only payment method accepted for international bookings.
  • If you require a deposit invoice or an individual invoice, please let us know at the time of booking and provide the correct billing details.
  • The lead booker must be 18 years of age or older. Riders under the age of 18 may only participate with the prior written consent of a parent or legal guardian.
  • We strongly recommend that you do not book non-refundable flights or incur any other non-refundable travel expenses until you have received your booking confirmation from Sursun Bike.

2. PRICING & WHAT’S INCLUDED

  • The price of your holiday includes only the services specifically listed in your chosen package and confirmed in your booking confirmation.
  • Unless otherwise stated, flights, travel insurance, personal expenses, meals not included in the package, bike repairs, replacement parts and any optional extras are not included in the holiday price.
  • Airport transfers are included only when specified in your package. Private transfers or transfers outside our standard operating hours may be available at an additional cost.
  • All prices are quoted in Euros (€) and are subject to change until your booking has been confirmed. Once your booking has been confirmed, the agreed price will remain unchanged unless you request additional services or modifications.

3. CHANGES AND CANCELLATIONS BY THE GUEST

  • If you need to cancel your booking, you must notify us in writing by email as soon as possible.
  • Deposits are non-refundable, as they secure your place and prevent us from offering it to other guests.
  • If you cancel your booking after paying the remaining balance, no refund will be given, regardless of the reason for cancellation, including illness, injury, adverse weather conditions, travel disruption or mechanical problems with your own bike.
  • We strongly recommend purchasing comprehensive travel insurance that covers cancellation, medical expenses, mountain biking and trip interruption.
  • If you wish to change your travel dates after your booking has been confirmed, we will do our best to accommodate your request, subject to availability. Additional charges may apply.

4. CHANGES AND CANCELLATIONS BY SURSUN BIKE

  • We always aim to deliver the holiday as advertised. However, we reserve the right to modify the itinerary, riding locations, uplift schedule or other aspects of your holiday where necessary due to weather conditions, trail closures, wildfires, safety concerns, minimum group numbers or any other circumstances beyond our reasonable control.
  • If we are unable to operate your holiday, we may offer an alternative date, an alternative itinerary or a full refund of any payments received.
  • Sursun Bike cannot be held responsible for any additional costs incurred by guests, including flights, accommodation booked independently, vehicle hire or other travel-related expenses.
  • If a tour is cancelled because the minimum group size has not been reached, you will be offered an alternative date or a full refund of any payments made.

5. TRAVEL INSURANCE (REQUIRED)

  • Valid travel insurance is mandatory for all guests.
  • Your insurance policy must provide appropriate cover for mountain biking, including medical expenses, emergency assistance, repatriation and trip cancellation or interruption.
  • You may be asked to provide proof of your insurance before the start of your holiday. Failure to provide valid insurance may result in your participation being refused without refund.
  • Sursun Bike does not provide personal travel or bicycle insurance and accepts no responsibility for costs arising from inadequate insurance cover.

6. RIDER REQUIREMENTS & HEALTH

  • Our holidays are designed for riders with at least an intermediate level of mountain biking experience. Guests are responsible for ensuring they have the fitness, riding ability and medical condition required for the holiday they have booked.
  • All riders must ride within their own ability and remain responsible for assessing the trail ahead at all times. If you are unsure about any section, obstacle or feature, you should slow down, stop, inspect it and choose the safest option, including walking if necessary.
  • Trail conditions can change at any time due to weather, erosion, loose rocks, fallen trees or other natural hazards. Even if a trail has been ridden before, it should never be assumed to be free from risk.
  • Guests must follow the guide’s instructions at all times and must not ride ahead of the guide on unfamiliar trails unless specifically instructed to do so.
  • If visibility is limited, the group becomes separated, or you cannot clearly see the riding line, landing or exit of an obstacle, you must reduce your speed or stop before continuing.
  • If at any point you feel tired, uncomfortable, pressured or unable to ride safely, you should immediately slow down or dismount. The decision to ride any section of trail always remains the responsibility of the individual rider.
  • You must inform Sursun Bike before your arrival of any medical condition, injury or allergy that may affect your participation or require assistance during your holiday.

7. LIABILITY

  • Participation in all activities organised by Sursun Bike is entirely at your own risk.
  • By taking part in our holidays, you acknowledge that mountain biking is an adventure sport involving inherent risks, including the risk of serious injury, permanent disability or death.
  • You accept full responsibility for your own safety, decisions and actions throughout your holiday.
  • Sursun Bike, its owners, guides and employees accept no liability for any injury, loss, damage, accident, delay, expense or inconvenience arising from your participation in our activities, your own actions or decisions, the actions of other participants, or circumstances beyond our reasonable control.
  • Guests are responsible for any damage they cause to accommodation, vehicles, equipment or property belonging to Sursun Bike or to third parties during their holiday.

8. BIKE RENTAL & EQUIPMENT

  • Guests hiring a bike or other equipment from Sursun Bike are responsible for taking reasonable care of it throughout the rental period.
  • A €250 cash security deposit is required for all rental bikes before the start of the holiday. The deposit will be returned at the end of the rental period, provided the bike is returned in the same condition in which it was supplied.
  • Any damage resulting from crashes, misuse or negligence, including broken or missing parts, will be charged at the cost of replacement parts plus reasonable labour costs. Normal wear and tear is accepted.
  • Guests using their own bike are responsible for ensuring it is in a safe and fully functional condition before each ride.
  • An approved mountain bike helmet must be worn at all times while riding. We strongly recommend the use of knee pads, elbow pads, back protection and any other appropriate safety equipment.

9. ACCOMMODATION & GUEST CONDUCT

  • Guests are expected to respect the accommodation, vehicles, facilities and equipment provided by Sursun Bike throughout their stay.
  • Please keep the communal areas clean and tidy and show respect at all times towards other guests, neighbours and the local community.
  • Guests are expected to leave the accommodation in the same clean and tidy condition as when it was handed over to them. Should additional cleaning be required after departure, Sursun Bike reserves the right to charge a reasonable additional cleaning fee.
  • Any damage caused to the accommodation, vehicles or property through negligence or inappropriate behaviour may be charged to the guest responsible.
  • Sursun Bike reserves the right to terminate a guest’s holiday without entitlement to a refund if their behaviour is deemed dangerous, abusive, illegal or likely to adversely affect the safety, enjoyment or well-being of other guests, guides or staff.

10. AIRPORT TRANSFERS

  • Airport transfers are included only when specified in your booking confirmation.
  • Our standard airport transfer hours are between 09:00 and 19:00. Transfers requested outside these hours may be available at an additional cost and are subject to availability.
  • Guests are responsible for providing accurate flight information before arrival. Sursun Bike cannot be held responsible for delays or additional costs resulting from incorrect or late flight information provided by the guest.
  • If a flight is delayed, we will make every reasonable effort to accommodate the revised arrival time. However, additional charges may apply where extra transport arrangements are required.

11. PERSONAL BELONGINGS

  • Guests are solely responsible for their personal belongings throughout their holiday.
  • Sursun Bike accepts no responsibility for the loss, theft or damage of personal belongings, including bicycles, riding equipment, luggage, clothing, electronic devices, passports, travel documents, valuables or vehicles.
  • We recommend that guests do not leave valuables unattended at any time.

12. PHOTOGRAPHY & MEDIA

  • During your holiday, Sursun Bike may take photographs and videos for promotional, marketing and social media purposes.
  • By participating in our holidays, you consent to the use of images and videos in which you may appear. If you prefer not to be photographed or filmed, please let us know before or during your stay, and we will respect your wishes.
  • All photographs, videos and other media created by Sursun Bike remain the property of Sursun Bike SL.

13. FORCE MAJEURE

  • Sursun Bike shall not be liable for any delay, cancellation, change or failure to provide any part of the holiday where this is caused by circumstances beyond our reasonable control. These may include, but are not limited to, extreme weather, wildfires, natural disasters, pandemics, government restrictions, strikes, transport disruption, road closures or any other unforeseen events affecting the safe operation of the holiday.
  • If a holiday is cancelled by Sursun Bike before the guest’s arrival due to a force majeure event, guests will receive a full refund of any payments made to Sursun Bike.
  • If a force majeure event occurs after the holiday has started, no refund will be given for any unused services, accommodation, riding days or any other part of the holiday.
  • Where possible, Sursun Bike will make reasonable efforts to offer an alternative itinerary or suitable arrangements, but this cannot be guaranteed.

13. GOVERNING LAW & CHANGES TO THESE TERMS

  • These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Spain.
  • Any dispute arising from these Terms & Conditions or your booking shall be subject to the exclusive jurisdiction of the Spanish courts.
  • Sursun Bike reserves the right to amend or update these Terms & Conditions at any time. The version published on our website at the time of booking shall apply to your reservation.ements, but this cannot be guaranteed.
